Organizing the Christmas Party

Every year there is a Christmas party for all groups of the institute. The group of Prof. Durante has its own party, therefore they are unlikely to take part. Normally one or two persons of each group participate in the preparation of it. The following information can be used as a guideline on how things can be organized. On the other hand if you feel like anything is missing, feel free to add new ideas or experiences. Please notice that there are some members which do not speak German. Therfore the general communication language is English.

Time schedule

The first notice about the Christmas party will we send by someone else (e.g. Prof. von Klitzing), informing everyone about the date of the Christmas party and asking for volunteers to help. The party is usually scheduled for one or two weeks before the Christmas holidays, so it is good to start the proper planning late November/early December. An official invitation can be sent around two weeks before the party. However, make sure to plan events involving many people (e.g. Secret Santa) in advance.

Food

Since the party usually starts in the afternoon and has an open end, it makes sense to think about providing food. A possibility is to additionally ask members to donate and bring food to share (e.g. drinks, bread rolls, noodle salad, cookies, cake). The food can be displaced in the social room, opened for everyone during the party along with the cutlery.
Please consider that there are different forms of diets, so you also think of vegetarian, vegan or glutenfree options. Regarding funding you can kindly ask the professors to participate and support part of the costs.

Program and Games

To provide some structure for the party, games can be played. If people are divided into groups it is highly recommended to mix the members of the groups.

  • Secret or Dirty Santa: (https://www.wichtel-o-mat.de/) needs some planning in advance
  • Chocolate Hunt: Solving riddles around the institute (add example file, chocohunt_rules.pdf)
  • Pub Quiz: Either at the institute or online (add example file)

Online

In the unlucky event an online program is needed, here is a list of free multiplayer games:

Apart from this, Secret Santa and the Pub Quiz can also be held online.

Secret Santa

Dear PKM-members! (German version below)

We - the organization team for this year's Christmas party - happily want to announce the Secret Santa campaign for the upcoming Christmas party on date. Everyone of any PKM group is welcome to participate and a big number of participants is highly appreciated.

How does it work?

  1. First participate by entering your full name and your wish list.
  2. After the deadline, the “Oberwichtel” (the organizer of the lottery) will start the lottery drawing so that you receive the name and the wish list of the person to be gifted by you.
  3. The gifts should be gathered in a room, which will be announced in another e-mail.

Rules:

  1. Participation deadline: deadline
  2. We want everyone to gift and to be gifted by a nice, beautiful, unique gift. Therefore you can think of any wish which is possible to be fulfilled within the maximum value of price. This time we do not do the “Dirty Santa” version as previously done last year.
  3. Do not gift something you personally would not like to receive as a gift.
  4. Wrap your gifts and leave them in a dedicated room room until date
  5. The gift shall be labelled by the name of the recipient but not by the person, who is gifting it. After all, it's “Secret Santa” ;-) Also do not tell anyone whom you are gifting!
  6. Do not open the gifts before the official slot during the digital Christmas party, but rather together with everyone else.

Anything remained unclear? Feel free to ask! If anyone missed filling the wish list, we can remove you, so you can register again. Please don't register more than once.

wir - das Orga-Team der diesjährigen Weihnachtsfeier - möchten Euch gerne die Wichtel-Aktion für die kommende Weihnachtsfeier am Datum präsentieren! Alle, die irgendeiner PKM-Gruppe angehören, sind herzlich willkommen teilzunehmen und wir freuen uns über jede Teilnehmerzahl mehr.

Wie funktioniert das?

  1. Zunächst füllst Du die Felder einfach mit Deinem vollen Namen sowie Deiner Wunschliste aus.
  2. Nach der Deadline wird der Oberwichtel die Auslosung starten und alle, die teilnehmen, bekommen eine Mail mit dem Namen sowie der Wunschliste ihres Wichtels.
  3. Die Geschenke werden in einem Raum gesammelt, der Raum wird in einer weiteren E-Mail bekanntgegeben.

Regeln:

  1. Teilnahmefrist: Frist
  2. Wir möchten, dass alle ein tolles, schönes und einzigartiges Geschenk erhalten. Dafür musst Du dir überlegen, welcher Wunsch im Preisrahmen von Preis erfüllbar ist. Dieses Mal machen wir kein “Schrottwichteln” - im Gegensatz zum letzten Jahr.
  3. Schenke nicht etwas, was Du selbst nicht gerne erhalten möchtest.
  4. Verpacke Dein Geschenk und lege es bis Datum in den dafür vorgesehen Raum Raum
  5. Das Geschenk sollte mit dem Namen des Empfängers aber nicht mit dem des Schenkenden versehen werden. Schließlich nennt es sich “Secret Santa” ;-) Sage auch keinem, wen Du beschenkst!
  6. Öffne das Geschenk nicht vor dem offiziellen Zeitslot, sondern gemeinsam mit allen anderen.

Noch etwas unklar? Nicht zögern, einfach nachfragen! Falls Du vergessen hast, die Wunschliste auszufüllen, können wir Dich entfernen, sodass du Dich wieder einträgst. Bitte trage Dich nicht mehrmals ein.
